I have a fax machine in my department.  How does this change impact me?


After the transition, you will no longer use your department’s copier to send or receive documents. Alternatively, you will send and receive faxes using your school district’s email account. (You may need  to scan a document at the copier and send it to your email, prior to sending a fax.) As an added security benefit, we will no longer have faxes sitting in the paper tray waiting to be picked up by the next person to walk by the machine.


How do I send a fax?


Using the Opentext solution, every staff member can create and send faxes from GMAIL. The body of the email is the cover page and the attachments are additional pages.  Send your fax just as you would any other email with attachments.  Simply address your email to ##########@fax2mail.com (e.g., 8474864734@fax2mail.com). 


You can send an email to multiple fax numbers and also mix in regular email addresses if you would like.


How will I know if a fax transmission was successful?


You will receive an automated delivery notification for each fax sent. These notifications will notify you of a successful or failed fax so the sender has a record of the delivery status.


Can I still receive faxes at the same number we have used for several years?


Yes. We are not changing any of our fax numbers at this time. When a fax is received it will be sent via email to one or more staff members.  We are currently working with the Associate Principals for Administrative Services at Glenbrook North and South, and the Directors at Glenbrook Off Campus and the District Administration Building to determine who should be set up to receive faxes.


What will inbound faxes look like?


Inbound faxes will arrive in designated staff member’s email inboxes as an email message with an attachment. The subject will clearly identify that it is a fax, and the sender’s information (e.g., fax number, name).


Are faxes received and sent through Opentext secure?


Yes. All transmissions utilize standard 128-bit encryption for sent and received files.  Opentext is also compliant with regulations such as HIPPA.  To ensure privacy, only designated department receivers will see the fax transmission, which will be forwarded electronically to the intended recipient.
